Travel and Admin Service Coordinator

Role Purpose:

The Travel and Admin Service Coordinator oversees and approves all travel requests for employees and guests.

Job Duties:

  • System Administrator for web-based travel expense reimbursement system, including user training, support, system management and testing of upgrades
  • Periodic audits of expense reports to ensure compliance with company policy
  • Program Administrator for American Express (AMEX) Corporate Card programs including but not limited to:
    • Administering new card applications
    • Managing cardholder master file to ensure employees are submitting expenses timely, and AMEX cards are only issued for valid employees
    • Managing cardholder limits for Purchase Card Program
    • Consolidating monthly spend data and preparing import files for payment to American Express
    • Monitoring AMEX card usage and tracking of spend outside of company policy, including late fees and delinquencies
  • Customer service role to handle employee issues related to T&E system, Travel and American Express
  • Liaison with Corporate and travel agent to administer programs for travel and AMEX
  • Admin services for car service accounts, periodicals and more
  • Special projects as assigned

Basic Qualifications:

  • Minimum of three years of relevant experience
  • Demonstrated proficiency in Excel
  • Strong customer service and leadership skills
  • Excellent verbal and written communication skills

Desired Characteristics:

  • Experience working with travel agencies and travel card providers
  • Business degree
  • PeopleSoft  experience
  • Industry knowledge and interest in current events
